A long PDF without page numbers is a small but constant annoyance β try telling someone "check the third paragraph on the page after the chart" without a page number to reference, and you'll see why this small addition matters more than it seems.
When you actually need page numbers
Not every PDF needs them, but a few situations make it worth the minute it takes:
- Reports and proposals that reviewers will reference by page during a meeting or in comments.
- Legal or academic documents where page citations matter.
- Any document you expect someone to print β printed pages are much harder to navigate without numbering than a scrollable PDF.
Step 1: Decide on placement and starting number
Before you add page numbers, think through two small details: where on the page they should sit (bottom center and bottom right are the most common choices) and whether you want to start counting from page 1 or skip a cover page. Getting this right the first time saves a re-do.
